Studio management

From inquiry to payment, all in one place

Beyond your website and works: clients, quotes, contracts, freelancer payments and the books, all in Grids and all connected to the same works and crew credits.

One job, from inquiry to payment

Most jobs move through these six steps. Each one has its place in Grids, and the details carry forward, so nothing gets copied between spreadsheets, documents and group chats.

  1. Inquiry

    Website inquiry form

A client asks through the inquiry form on your website, or on LINE. You get an email and the inquiry lands in your dashboard; once you add the client, every later quote and contract sits under them.

  2. Quote

    Quotes

Quotes are numbered automatically, with sales tax and discounts worked out. Send the client a share link; they click Accept quote online, and Grids records their name, the time and their IP address.

  3. Contract

    Contracts

Start from six templates common in production work, fill in the client and project details automatically, and send a link for the other party to sign online.

  4. Shoot

    Project board

Projects move column by column from In talks to Delivered, with the schedule, tasks and crew inside each project. For call sheets and shot lists on set, use the free tools.

  5. Pay the crew

    Freelancer payment receipts

Payment receipts work out the withholding tax and Taiwan's supplementary health insurance premium (NHI) automatically. Crew members fill in their ID number, address and bank account through a link and sign online.

  6. Get paid

    Income and expenses

Payments in and out are recorded under each project, so you see at a glance what every project earned. At month end, export a CSV for your bookkeeper.

What studio management includes

Only what you actually use every day, in the same terms your accountant and clients use.

  • Clients

Each client's contacts, projects, quotes, contracts and running total on one page.

  • Project board

Move projects from In talks, Quoted and Shooting all the way to Paid. Schedules, tasks and crew live in the project, and crew members can link to their Grids card page.

  • Quotes

Numbered automatically, with sales tax and discounts worked out; print or save as PDF. Clients accept online through a link, and an accepted quote becomes a project or a contract.

  • Contracts

Six templates (video production, photography commission, likeness rights, copyright license, confidentiality and freelance service) filled in with client and project details and signed online by the other party.

  • Freelancer payment receipts

Work out withholding tax and Taiwan's supplementary health insurance premium (NHI) automatically. Crew members fill in their details through a link and sign for receipt; the data is stored encrypted and exports as CSV.

  • Income and expenses

Record income and expenses by project and by month, see what each project earned at a glance, and export a CSV for your bookkeeper.

  • Team

Invite 10 members and decide by role what each person can see. Members cost nothing extra.

From the free tools to studio management

The free tools are a light version of studio management. They stay free with no limits; with Business you pay for saving, collaboration and connecting everything, not for the tools themselves.

Before you start

  • The contract templates are a starting point, not legal advice. For large amounts or unusual terms, have a lawyer review them.
  • Payment receipts and income and expenses help you track project profit and prepare your bookkeeping. For tax filing, follow your bookkeeper or accountant.
  • Online quote acceptance and online signing record the name, time and IP address; they are not certificate-based electronic signatures.
  • ID numbers and bank account numbers are stored encrypted. Only owners and admins can view them, and every view is logged.
